NOTE ON THE PROCESSING OF PERSONAL DATA
Pursuant to Art. 13 EU Regulation nr. 679/2016 (“GDPR”)
Fondazione Università Ca’ Foscari, with headquarters in Venice (Italy), Ca’ Dolfin - Calle Larga Ca’ Foscari - Dorsoduro 3859/A, postcode 30123 (hereinafter “Fondazione”), in carrying out its business, pays the utmost attention to the safety and the confidentiality of its users’ personal data.
Fondazione is therefore the data controller of the personal data collected on the website www.edizionicafoscari.unive.it (hereinafter the “Website”) and wishes to provide you with information relating to the processing of your personal data.
WHICH PERSONAL DATA REGARDING YOU CAN BE COLLECTED
The following categories of personal data concerning you may be collected by Fondazione (the term “personal data” means all the categories listed below, jointly considered):
Data of the agreement – name, surname, telephone numbers and email address;
Data of the personal area – information entered voluntarily to complete your personal profile (such as title, initials, country of origin and affiliation, department, discipline);
Log-in data – information regarding username, password and role necessary to allow you to access the Websites’s personal area;
Delivery data - information relating to the shipping address, e.g. street, house number, country, postcode;
Purchase data - information relating to the type of product purchased and/or format (books in paper format);
Other personal data – any additional personal data entered in the emails sent to us.
Fondazione collects and processes your personal data in the following circumstances:
if you contact us for more information at the addresses indicated in the “Contacts and Administration” section of the “About us” page or if you use the “Contacts” form in each area of our editorial catalogue to send publication proposals to the scientific committees;
if you log in to the Personal Area of the Website, if you are Admin/Author/Project Editor/Editor/Reviewer;
if you belong to the scientific community and your personal data are communicated to us by an author for dissemination activities;
if you add the products offered on the Website in the “cart” or go on to purchase the same.
If you provide personal data on behalf of someone else, you must ensure, in advance, that the interested parties have read this Privacy Note.
Please help us keep your personal data up-to-date by informing us of any changes.
FOR WHAT PURPOSES YOUR PERSONAL DATA MAY BE USED
The processing of personal data must be legitimised by one of the legal conditions provided for by the current legislation on the protection of personal data as described below.
a) Management of feedback to requests for information or publication proposals
Fondazione will process your contact details, other personal data as well as – in the event that the request is made through the personal area – the personal area data, to allow you to receive our feedback regarding your requests for information or proposals for publication.
Prerequisite for the processing: execution of a contract or pre-contractual measures. The provision of data is mandatory to respond to your requests; otherwise, we will not be able to manage your requests.
b) Access to the Website’s personal area
If you are Admin/Author/Project Editor/Editor/Reviewer, you can use the Log-in data and Personal area data to access your personal area of the Website. Please note that the access credentials to the Website are created by you, on the occasion of the first log-in.
Prerequisite for the processing: execution of a contract or pre-contractual measures. The provision of data is mandatory to respond to your requests; otherwise, that we will not be able to manage your requests.
c) Execution of dissemination activities
If you belong to the scientific community and your contact details have been communicated to us by an author, these will be processed to send you communications also relating to other publications, in addition to those relating to the author who reported your data to us, in order to promote the knowledge of literary works within the relevant scientific community.
Fondazione also processes your contact details in order to give visibility within the scientific community to the work of which you are the author. To this end, your personal data will be shared with Ca’ Foscari University of Venice, as well as with other authors, editors, reviewers who collaborate with Fondazione.
Prerequisite for the processing: legitimate interest.
This processing responds to Fondazione’s legitimate interest to promote the knowledge of literary works within the relevant scientific community.
The provision of your contact data is optional and failure to provide it does not have consequences on contractual relationships.

d) Management of purchase orders
Fondazione may process your Contact data, Personal area data, Delivery data and Purchase data to receive and manage purchase orders, supply products (e.g. publications) or services on the Website, manage activities relating to the cart as well as those resulting from and connected to the purchase order.
Prerequisite for the processing: execution of a contract or pre-contractual measures.
The provision of data is mandatory since, otherwise, you will not be able to manage your purchase orders and related activities.
e) Defence of rights during judicial, administrative or extrajudicial proceedings, and in the context of disputes arising in relation to the services/activities offered
Fondazione may process your personal data to defend its rights or act or even make claims against you or third parties.
Prerequisite for the processing: legitimate interest of Fondazione in the protection of its rights.
In this case, a new and specific data provision is not required, since Fondazione will pursue this purpose, where necessary, by processing the data collected for the purposes mentioned above, deemed compatible with this (also due to the context in which the data have been collected, the nature of the data and the adequate guarantees for their processing, as well as the link between the aforementioned purposes and this additional purpose).
f) Purposes related to the obligations established by laws, regulations or community legislation, by provisions/requests of authorities legitimated by the law and/or by supervisory and control bodies
Fondazione may process your personal data to fulfil its obligations.
Prerequisite for the processing: fulfilment of a legal obligation.
The provision of personal data for this purpose is mandatory since, otherwise, Fondazione will be unable to fulfil specific legal obligations.
HOW WE KEEP YOUR PERSONAL DATA SAFE
Fondazione employs adequate security measures in order to improve the protection, security, integrity and accessibility of your personal data.
All your personal data are stored in our protected servers (or paper copies suitably archived) or in those of our suppliers or commercial partners and are accessible and usable according to our standards and our security policies (or equivalent standards for our suppliers or commercial partners).
HOW LONG WE RETAIN YOUR DATA
We store your personal data only for the time necessary to achieve the purposes for which they were collected or for any other legitimate related purpose. Therefore, if the personal data are processed for two different purposes, we will keep such data until the purpose with the longer term ceases; however, we will no longer process the personal data for that purpose whose storage period has expired.
We limit access to your personal data only to those who need to use them for relevant purposes.
Your personal data that are no longer necessary, or for which there is no longer a legal prerequisite for its storage, are irreversibly anonymised (and in this way can be stored) or destroyed in a secure manner.
Below are the storage times in relation to the various types of purposes:
a) Management of feedback to requests for information or publication proposals: your contact data and other personal data for this purpose may be kept for the time necessary to achieve the purposes for which the data were collected and in any case no later than 10 years.
b) Access to the Website’s reserved area: your Log-in Data and Personal Area Data for this purpose may be kept for as long as your account is active;
c) Execution of dissemination activities: your contact details will be kept until your opposition;
d) Log-in data: Your Log-in data will be kept for as long as your account is active;
e) Management of purchase orders: your Contact data, Personal area data, Delivery data and Purchase data may be kept for this purpose for the time necessary to complete the purchase order and subsequently for no more than 10 years;
f) Defence of rights during judicial, administrative or extrajudicial proceedings, and in the context of disputes arising in relation to the services/activities offered: your personal data may be kept for this purpose for the time strictly necessary to protect the rights of Fondazione;
g) Purposes related to the obligations established by laws, regulations or community legislation, by provisions/requests of authorities legitimated by the law and/or by supervisory and control bodies: your personal data may be kept for this purpose for the time strictly necessary for the fulfilment of a legal obligation.
In any case, for technical reasons, the termination of the processing and the consequent definitive cancellation or irreversible anonymisation of the related personal data will be final within thirty days from the terms indicated above. With particular reference to the legal protection of our rights or in the event of requests from the authorities, the data processed will be kept for the time necessary to process the request or to pursue the protection of one’s right.
WHO CAN WE SHARE YOUR PERSONAL DATA WITH
Your personal data may be accessed by duly authorised employees, as well as external suppliers – appointed, if necessary, as data processors – who provide support for the IT platform and/or for the provision of products and services, including Ca’ Foscari University.

Fondazione informs you that your personal data will be processed, for the purposes indicated in this statement, exclusively within countries that belong to the European Union (EU) or the European Economic Area (EEA).

YOUR DATA PROTECTION RIGHTS AND YOUR RIGHT TO ADVANCE COMPLAINTS TO THE SUPERVISORY AUTHORITY
Under the conditions provided by the GDPR, you have the right to ask Fondazione:
the access to your Personal Data;
the copy of the Data you provided to Fondazione, in a structured format, commonly used and readable by an automatic device and the transmission of such Data to another data controller (portability);
the correction of the Data we have;
the cancellation of any data for which Fondazione no longer has any legal basis for processing;
the limitation of the processing, within the limits set by the legislation for the protection of personal data
Prerequisite for the processing: in addition to the rights listed above, you have the right to object at any time – for reasons connected with your particular situation – to the processing of your personal data carried out by the controller for the pursuit of your legitimate interest. Furthermore, you can always object at any time if the personal data are processed for marketing purposes.
The exercise of these rights is free and is not subject to formal constraints. In the event that you exercise any of the aforementioned rights, it will be our responsibility to verify that you are entitled to exercise it and we will reply, as a rule, within one month.
If you believe that the processing of your personal data is in violation of the provisions of the GDPR, you have the right to lodge a complaint with the Italian Data Protection Authority, using the references available on the website www.garanteprivacy.it, or to refer to the appropriate judicial offices.
